Expense Management & Billing
Cairs.net provides a comprehensive telephony expense management tool enabling you to distribute vendor expenses for cell phones, long distance, data changes, and equipment, to groups within your organization. Cairs.net automates the billing process eliminating time-consuming business processes while providing tools that increase visibility and allow you to keep close tabs on where your IT dollars are going.
Cairs.net provides an account management system that allows you to track unlimited accounts with their associated inventory. Accounts are connected to Organizations and Telephone Control Officers (TCO) for bill distribution and are the center piece of the cairs.net automated billing feature. Each account contains a dashboard view of the customer’s sets, call charges, equipment and services, and billing credits and debts. The Account record also provides a history of all prior bills created. Within Accounts you can manage several aspects relating to how you bill your customers for provided equipment and services. There are two different account types, official and unofficial. Official accounts are those associated to an Organization while Unofficial accounts are associated to a Subscriber. You can go one-step further and associate each account with one or more circuits or set devices, to bill for all one-time, recurring and call charges. This allows you to link your organizations or subscribers with the equipment and services they are responsible for.

Media Imports allow you to take the charges given to you by a third party vendor and import those into your active database. Vendor charges are included on your customer bills allowing you to recover 100% of your vendor expenses. The Vendor Media Import tool allows you to import a large variety vendor data, including everything from call records to service charges, in a host of different formats.
Within Media Imports, you can create a project that allows you to build a template for a particular Vendor file. With the templates, you can filter off information so you only import the wanted information and you can also reuse the templates each month so you only have to build them once (at least until the Vendor changes the format).
- Create a template to use for importing files from your third party vendors.
- When importing, you can filter the information to import only the information you need.
- If the vendor file contains corrupted data, cairs.net shows you where the corrupt data is while still importing the uncorrupted data.
- Import multiple files at once by simply dragging the files from your desktop directly onto the Vendor Media Import form. Cairs.net automatically figures out which template is used for each.
- Preview the information before importing into you active database.
- View and search vendor data in your Active Calls folder with the rest of your call records.
The Active Calls and Archived menus provide a reporting system for call records and calls from both your network and vendor media sources. These menus keep regular reporting fast by providing an easy method for archiving rarely used older calls and allowing the Active Calls folder to focus on calls needed for analysis and reporting. Within these call folders, you can search by all of the call record standard fields: called from number, called to number, duration, cost, city, state, country, organization, subscriber, site, and account number. Other important reports can easily be generated including, Greatest Cost, Most Frequently Dialed, Greatest Duration, to name a few.

- Download previous billing statements.
